When must I submit my Budget Revisions/Transfers?

This chart shows the monthly deadlines for the 2023–2024 fiscal year. It can also be found on the Administration and Finance page. These deadlines are for the Budget Office and include “all” transfers (Self-Service Banner, Electronic Budget Forms and Paper Transfers). This means revisions/transfers must be approved at all levels and reach our queues/budget email by this time.

Yes, FGIBAVL will provide you with a summarized view by budget pool account and FGIBDST for a summary of activity by account code.

To check encumbrances, go to FGIOENC to see all open encumbrances by fund/org number.

Yes, training classes are held periodically throughout the year. An announcement will be sent out via email with instructions detailing how you are to sign up for the class. Note: Banner is not an intuitive system. We encourage all users, even if you only approve requisitions, to attend the Banner training classes.

It takes no more than 3 business days from the receipt of document in the Budget Office. Department approval may vary but should also be approved within 3 business days.

A budget transfer form (BD4) is a transfer (see table below). These transfers only require the department head or dean signature.

Special responsibility transfers (BF3) are shown in the table examples below. These transfers require three signatures: department head, dean and VC, and Provost or Chancellor. These transfers only apply to general funds (state).

Debit is when you add money to an account. Credit is when you subtract from an account. Remember: whole dollars only on budget transfer and special responsibility forms.

Credit is when you increase budget to add revenue to an account. Debit is when you increase budget for an expense.
